Glossary
Use these definitions when a label has a particular meaning in Flowpane. A status always belongs to a specific surface and observation time.
Account and authority
| Term | Meaning |

| Organisation | The account structure that holds the plan and billing and contains Workspaces |
| Child Organisation / Branch | A subordinate Organisation in a supported hierarchy; keep its authority and effective plan distinct from its parent's |
| Workspace | A group of Sites with its own members and roles, often used for one client |
| Site | The website record you are assessing, with its URL, verification, checks and settings |
| Verification | Evidence that you control a Site; it is separate from a governance score or CMS connection |
| Site Integration / connection | A supported association with a Joomla or WordPress installation for permitted observation and capabilities |
| Managed changes | Separate, explicitly enabled authority for supported website changes; connecting alone does not grant it |

Evidence and observations
| Term | Meaning |

| Artefact | One resource assessed for a Site, such as robots.txt, a sitemap or Cookies & Consent evidence |
| Representation | The form in which a resource is served or observed, such as a CMS-generated response or a physical file |
| Evidence | The content, response or finding recorded at a particular observation time; it may be incomplete or unavailable |
| Check run | One attempt to assess a Site's governance resources |
| Scheduled check | A recurring governance check on an eligible plan; it does not currently send proactive monitoring alerts |
| Crawl / Deep Scan | Following reachable Site links to gather a bounded set of page observations |
| Sitemap intelligence | Reading declared sitemap URLs and comparing them with available page/crawl evidence |
| Not observed | Not found in the available observation set; it does not prove that a page or file does not exist |
| Declared platform | The CMS/platform selected for the Site by its maintainer |
| Observed platform | The platform suggested by public evidence; confidence expresses the strength of that observation |
| Confidence | Evidence strength for an inference, rather than a certification or a guarantee |
Remediation and reporting
| Term | Meaning |

| Review | The fast findings and quick-remediation surface; supported fixes save to a shared draft |
| Workbench | Detailed artefact evidence, drafting, validation and history where available |
| Current | Public content observed for a selected result; it is not an editable website file |
| Proposed / draft | Intended content you can prepare; saving it is separate from publication |
| Validation | Checks of a saved proposal; it does not prove the proposal is published or legally sufficient |
| Apply / publish | A separate authorised action that changes an available website resource or supported managed policy |
| Managed policy | A supported rule Flowpane is authorised to manage, such as page indexing directives |
| Report recipient | An address configured for one Site's report emails; recipient status does not grant Workspace membership |
| Suppressed / not receiving | Delivery is withheld for the displayed eligibility or preference reason; inspect the recipient status rather than assuming the address is usable |
Status words depend on context
Present means a resource was obtained; it can still have findings. Missing means it was not found at the checked location. Blocked means access was prevented. Error means a usable current result could not be produced.
Pending, Connecting, Scheduled or Queued indicate work awaiting completion; they are not confirmation of success. Completed describes a finished run, whose individual findings still need review. Failed or Needs attention requires reading the explanation and taking an appropriate next step.
Connected describes a CMS association, not management permission. Active on a Site describes its lifecycle; Active on a recipient describes current delivery eligibility. Sent records sending success rather than inbox placement. Partly sent means recipients have different delivery outcomes. See troubleshooting and report recipients for the consequences of each state.
